Clerks must be able to multitask while providing excellent customer service. This position also performs a wide variety of clerical functions specific to the Recorder’s Office at Ada County, including functions to index, process, issue, preserve, and retrieve records including land record documents, licenses, permits, and applications.DISTINGUISHING FEATURES:
The employee works under general supervision and must exercise judgment in the application of prescribed procedures and methods to routine matters. The employee must have a good understanding of the function of the office and be able to accomplish the clerical work of the office independently.
- Acts as front-facing contact for public, greeting persons in accordance with training and instruction;
- Accepts, processes, and ensures customers submit completed passport applications;
- Verifies submitting documents for passport and licensing applications;
- Photographs customers for passports;
- Records, indexes, and files documents;
- Uses a variety of computer programs to perform job duties;
- Responds to public record inquiries either in person or electronically;
- Reviews simple accounts, reports, and other documents for completeness, accuracy, and conformity with established procedures;
- Performs daily balancing of monetary transactions and electronic transfers;
- Understands and interprets document intent for indexing and coding purposes.
ADDITIONAL FUNCTIONS:
- May issue or receive applications for county licensing and permits including alcohol, marriage, peddler and solicitor, vehicular escorts, and catering permits;
- May performs document recording and record searches with the general public, title companies, banking and mortgage institutions, the Ada County Assessor, and various State and County agencies and individuals;
- Provides general information in response to public or official queries;
- Works closely with all county departments in coordinating record searches and provides information necessary to update and maintain files;
- Will act as a backup to other recording clerk service areas when needed;
- Assists with trouble-shooting and testing of technology related to recording functions;
- Performs related functions as required.
- Must have a high school diploma or equivalent;
- One year of related clerical office experience required;
- Maintenance of Idaho Notary Public Commission, including the ability to be commissioned within six months of hire, is required;
- Spanish-speaking abilities are preferred;
- Good knowledge of English grammar, spelling and punctuation;
- Good knowledge of business math;
- Good knowledge of general office equipment and filing systems;
- Skill in operating a personal computer and Microsoft Office programs; Ability to utilize mapping and recording software;
- Ability to use a camera and related equipment to capture optimal image quality, ensuring proper lighting and composition;
- Ability to understand and follow verbal and written directions;
- Ability to plan, gather, and organize records and related data;
- Ability to communicate effectively in verbal and written form;
- Ability to type from clear copy or rough draft at an average rate of speed of 50 WPM with a high degree of accuracy;
- Ability to work under pressure, to include multitasking between various software and phone systems.
- Ability to multitask and accurately type information and operate basic computer programs while providing excellent customer service;
- Ability to maintain confidentiality;
- Ability to maintain harmonious working relationships with other employees and the public;
- Ability to handle money accurately and make proper change;
- Ability to visually analyze documents for authenticity;
- Ability to accurately capture and print clear pictures and work in environment with flash photography;
- Knowledge of legal procedures documents and terminology, preferred.
OTHER REQUIREMENTS:
- Per the U.S. Department of State requirements, passport application agents must meet the following requirements:
- Are at least 18 years of age;
- Are U.S. citizens or U.S. nationals;
- Are not on parole or probation related to any federal, state, or local felony or misdemeanor related to breath of trust or moral turpitude (i.e. embezzlement, document fraud, drug offense, or dishonesty carrying out a responsibility involving public trust);
- Are not presently under indictment for any federal, state, or local felony or misdemeanor related to breach of trust or moral turpitude;
- Are free of any federal, state, or local felony convictions or misdemeanor convictions related to breach of trust or moral turpitude.
- Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;
- May be required to lift up to 25 lbs.;
- This role requires sufficient visual acuity to accurately review and verify physical and digital documentation;
- Incumbents are exposed to bright, flashing camera lights when photographing customers;
- Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
