This role will collaborate closely with directors, project managers, and field teams to ensure accurate tracking, reconciliation, and reporting of project costs, including timecard processing, time tracking, invoicing, and budget management.BenefitsSRI offers W-2 employment with access to a comprehensive benefits package such as paid PTO, holidays, health/dental/vision/life insurance, 401k and HSA.SalaryThis position pays $65,000 – $72,000 Salary depending on experience.Tasks
- Provide administrative support to field technicians, project managers, and directors throughout the project lifecycle.
- Maintain project budgets, update financial projections based on change orders, and ensure accurate time tracking and timecard processing for payroll submissions.
- Approve timesheets, track labor costs, per diem, and expenses, ensuring proper reconciliation of customer purchase orders with internal job records.
- Manage customer purchase orders, set up and track jobs, process invoices, and close out projects.
- Enter, track, and reconcile purchase orders, change orders, and travel expenses while ensuring accurate and timely invoicing.
- Participate in project status meetings, oversee accounts receivable, and maintain strong customer relationships.
- Create, close, and log jobs within the accounting system while organizing and uploading necessary documentation.
- Identify and resolve billing discrepancies, ensuring timely submission of invoices in accordance with contract terms.
- Utilize advanced Excel and Google Sheets skills for time tracking, payroll reconciliation, and financial reporting.
- Identify and address billing issues, ensuring timely submission of invoices per contract terms.
- Demonstrate attention to detail, proficiency in Excel and Google Sheets, and strong communication skills to support the team.
Skills & Responsibilities
- 5+ years of experience in project administration, financial coordination, or customer support.
- Expertise in timecard processing, time tracking, and payroll reconciliation to ensure accuracy and compliance with project requirements.
- Strong problem-solving abilities, attention to detail, and organizational skills.
- Experience leading and supervising project administration teams. – If this is not a management or leadership position I would say remove this line.
- Excellent communication and interpersonal skills, both written and verbal.
- Ability to maintain professionalism in high-paced environments.
- Proficiency in Microsoft Office Suite, with advanced Excel skills.
- Experience with Trimble Viewpoint Spectrum construction software is a plus.
